Privacy Policy

KethSavi - Biyagama is a service for requesting and booking community resources (such as an excavator) in the Biyagama area. This policy explains what information we collect, why we collect it, and how we protect it.
1. Who runs this service
The service is run by the office that manages community resources for the Biyagama area ("the office"). Council members help residents make requests through the service.
2. Information we collect
- Council members and staff: name, phone number, username, the areas assigned to a council member, and a password (stored only in a scrambled form that cannot be read back).
- For each request: the applicant's name and phone number, the address of the land and the purpose of the work, the agricultural agent's name and phone number, the booking dates, the price, and the status of the request.
- Payment receipts: the photo or PDF of the bank deposit receipt that is uploaded for a request.
- Activity records: who changed a request and when, so that the history of each request is accurate.
- Visitors: you do not need an account to view the public pages. We do not use advertising or tracking tools. Like any website, our hosting may keep standard technical logs (such as the time and IP address of a visit) for security.
3. Why we use this information
We use it to check availability, process and confirm requests, verify payments, contact the applicant and the agricultural agent, keep a record of bookings and payments, and prevent misuse of the service.
4. Who can see it
- A council member sees the requests of their own areas.
- The office and management see all requests.
- The public pages show only the names and phone numbers of council members who are listed publicly, area names, and which dates are booked. They never show an applicant's details or prices.
- Payment receipts are private. They are shown only to people who are allowed to see that request, using short-lived links.
5. Sharing
We do not sell personal information. The companies that host the service and store files work for us and handle data only to run the service. We may share information if the law requires it.
6. Cookies
We use only the cookies the service needs to work: one to keep you signed in and one to remember your language. We do not use advertising cookies.
7. Security
Passwords are stored in scrambled form, connections are encrypted, and each person can see only what their role allows. No system is completely secure, but we work to protect your information.
8. How long we keep information
We keep request and payment records for as long as they are needed for the office's records and accounts, and then remove or anonymise them in line with the office's rules.
9. Your rights
You may ask to see the personal information we hold about you, to correct it, or to ask for it to be removed where the law allows. We aim to handle personal data in line with Sri Lanka's Personal Data Protection Act, No. 9 of 2022.
10. Changes and contact
We may update this policy. The date at the top shows when it last changed. If you have questions, please contact your council member or the office.
